Job Title: Office Manager

Location: Madison, WI

Type: Direct Hire

Schedule: M-F 8-4:30

Pay Range: $25 - $32/hr + bonus

Summary

Connect Search is hiring an Office Manager for a small manufacturing company in Madison.

Responsibilities

Customer Service:

  • Review and confirm routine customer purchase orders and online orders.
  • Correspond with customers related to ship dates, order confirmations, and other related questions and inquiries.
  • Enter sales orders into the ERP system and process accordingly.
  • Work with sales and production to ensure customer deadlines are met and communicated with customers as needed.
  • Provide quotations for repeat customer inquiries.
  • Review and track open orders.
  • Assist with customer product returns and questions.
  • Assist with customer surveys and compliance forms.
  • Receive in customer supplied parts for processing.
  • Track open customer orders to determine any potential delivery issues.
  • Access and manage customer portals for purchase orders and invoicing.

Purchasing:

  • Monitor and reorder stock items and inventory as necessary.
  • Enter purchase orders into the ERP system and process accordingly.
  • Track and manage outstanding purchase orders with vendors.
  • Collect, review, approve and make credit card purchases.
  • Review and confirm inbound materials / pack slips to move on for payment.

Accounting:

  • Enter and invoice all customer orders.
  • Set up new customer and vendor accounts.
  • Collect credit application and verify information for Accounting/HR manager.

Shipping:

  • Coordinate shipping of orders with Shipping & Fulfillment Lead (UPS).
  • Schedule and process shipping through FedEx, DHL, LTL and other means to customers.

Other:

  • Greet and manage (occasional) visitors.
  • Answer and direct phone calls to appropriate parties.
  • Manage paper-copy files and filing systems.
  • Administer and process paperwork related to shipping, quality, certificates of conformance, and other necessary documents.

Qualifications

  • Manufacturing industry experience required
  • Purchasing experience required
  • Accounting experience preferred (invoicing, AR)
